This policy explains what personal information ELESSMELODY LTD collects when you use our website and order a personalised song, why we use it, who we share it with and the rights you have.
1. Who we are

2. Information we process
- Contact details: your name and email address.
- Billing and transaction information: the amount paid, date, products ordered and payment status. Card details are handled by our payment provider; we do not store your full card number.
- Order information: the song you ordered, selected extras, delivery option and order history.
- Your song brief: the story, names supplied for the personalised song, memories and anecdotes, the occasion, the feelings, musical preferences, voice preferences and any other creative instructions.
- Customer-support communications: messages you send us and our replies, including revision requests.
- Website and device information: technical data such as your IP address, browser type and the pages you visit, which is sent automatically when your browser loads our website and the files it uses.
- Cookie and similar storage information, including analytics information where you have consented to it (see our Cookie Policy).
3. Why we use it and our lawful bases
- To take and fulfil your order — creating your personalised song, delivering it, handling revisions and providing support. Lawful basis: performance of our contract with you.
- To prevent fraud and keep our service secure. Lawful basis: our legitimate interests in protecting our business and customers.
- To keep accounting and tax records and meet other legal obligations. Lawful basis: legal obligation.
- To improve our website and service, including analytics where you have consented. Lawful basis: our legitimate interests, and your consent where cookies or similar technologies require it.
- To send you marketing, only where the law allows — with your consent, or about similar products if you are an existing customer and have not opted out. Lawful basis: consent or legitimate interests, as applicable.
4. Sensitive information
A personal song can involve very private memories. Please only share what is needed for your song and avoid giving us unnecessary sensitive information, such as details about health, religious beliefs, sexual life or orientation, political opinions or criminal matters. If you choose to include such details because they matter to the song, we will use them only to create and deliver your song.
5. Information about other people
Songs are usually about someone else — the recipient, family members or friends. If you give us personal information about another person, you must make sure you are entitled to do so, for example because it is information you are allowed to share for a personal gift, and that sharing it with us would not surprise or harm them. We use it only to create and deliver the song you ordered.
6. Who we share it with
- Service providers who help us run our business, such as website hosting, form processing (orders submitted on our website are currently transmitted through the form-processing service Formspree), email delivery, file storage and customer support tools. They may only use your information on our instructions.
- Artists and producers working with us on your song, who receive the parts of your brief they need.
- Payment processors that handle your payment securely. They process your payment details under their own privacy policies and security standards.
- Analytics or advertising providers, only if you have consented to those cookies.
- Professional advisers and authorities, such as accountants, lawyers, insurers, HM Revenue & Customs or law enforcement, where required by law or to protect our rights.
- A buyer of our business, if our business is sold or restructured, subject to this policy.
We do not sell your personal information.
When your browser loads our website, it also requests files such as fonts and scripts from third-party providers (for example Google Fonts and cdnjs/Cloudflare), which receive technical information such as your IP address in order to deliver those files.
7. International transfers
Some of our service providers are located outside the United Kingdom, for example in the European Economic Area or the United States. Where your personal information is transferred outside the UK, we make sure it is protected, for example by relying on UK adequacy regulations or by using the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, together with any additional safeguards required.
8. How long we keep it
- Order, billing and transaction records: for as long as required for accounting and tax purposes — normally six years after the end of the financial year in which the order was placed.
- Your song brief and song files: for as long as needed to create and deliver your song, handle revisions and support, and deal with any questions or complaints, after which we delete or anonymise them.
- Customer-support communications: for as long as needed to handle your request and any follow-up.
- Marketing preferences: until you opt out, and a suppression record afterwards so that we respect your choice.
- Cookies and similar storage: as described in our Cookie Policy.
9. Your rights
Under UK data-protection law you have the right to: access your personal information; have inaccurate information corrected; have your information erased; restrict or object to our use of it; receive your information in a portable format; and withdraw your consent at any time where we rely on consent. We use appropriate technical and organisational measures to protect your personal information, such as encrypted connections, access controls and working only with reputable service providers. No method of transmission over the internet is completely secure, so please contact us immediately if you think your information has been compromised.

13. Children
Our service is intended for adults. Orders must be placed by a person aged 18 or over. Songs may be created for children, in which case please share only the information needed for the song.
